This is a plain-language pilot privacy notice prepared for review. It should receive legal review before a general paid launch.
Who is responsible
ActualCost is operated by ValueLAB MB. Privacy questions and requests can be sent to valuelabmb@gmail.com.
Information we receive
- Access-application details, including company name, contact name, work email and any optional phone or team-size information submitted.
- Account information used for authentication, workspace membership and permissions.
- Information users enter into their company workspace, such as projects, jobs, team-member details, labour entries, material costs, subcontractor costs, billings and notes.
- Technical information needed to operate and protect the service, such as request and error information produced by service providers.
- Email addresses and consent records submitted for product launch updates.
Why information is used
We use this information to review access applications, create and secure workspaces, provide requested features, send account and service communications, respond to support requests, prevent misuse and improve the pilot.
Service providers
ActualCost currently relies on Supabase for database and authentication services, Hostinger infrastructure for web hosting, and Resend for transactional email delivery. These providers process information only as needed to provide their respective services and under their own applicable terms.
Workspace responsibility
The company controlling a workspace determines which employee, customer, supplier and project information its authorised users enter. Workspace owners are responsible for having an appropriate basis to use that information and for granting access only to authorised colleagues.
Retention and deletion
Information is retained while it is needed to operate the pilot, maintain an active workspace, resolve legitimate support or security matters, or meet applicable legal obligations. Workspace owners may ask about account closure or deletion by contacting us. Some limited records may need to be retained where required by law or necessary to establish or defend legal claims.
Your choices and rights
Depending on applicable law, individuals may request access, correction, deletion or restriction of personal information and may object to certain processing. Launch-news consent can be withdrawn. To make a request, contact us and provide enough information to identify the relevant account or workspace without sending a password.
Local browser storage
The application uses browser storage for authenticated session information and interface preferences such as filters, visible columns and layout choices. ActualCost does not currently describe this storage as advertising tracking.
